Horizon HVAC LLC (“Horizon HVAC,” “we,” “us,” or “our”) operates the website horizonhvacinc.com and provides HVAC services in Rhode Island. This Privacy Policy describes how we collect, use, and protect your information.

How We Use Your Information

  • Schedule, dispatch, and complete the service you requested
  • Send appointment confirmations, dispatch updates, technician arrival notifications, and service follow-up by SMS, email, or phone
  • Respond to your questions and provide customer support
  • Send service-related billing and warranty communications
  • Send marketing communications (seasonal tune-up reminders, Comfort Club offers, Clean Heat RI / Mass Save rebate updates) only if you separately opted in to marketing SMS
  • Improve our service quality and analyze website usage
  • Comply with legal obligations

Third-Party Sharing

Horizon HVAC does not share, sell, or rent customer contact information including phone numbers and SMS opt-in data with any third party for marketing purposes. Information is shared only with our service technicians, dispatch system (HouseCall Pro), and CRM (HighLevel) solely to fulfill your service request.

The service providers we use to operate our business are:

  • HouseCall Pro — dispatch, scheduling, invoicing
  • HighLevel (GoHighLevel) — customer relationship management, SMS and email delivery
  • Make.com — secure data routing between our systems
  • Stripe — payment processing
  • Twilio (via HighLevel) — SMS carrier infrastructure

Each provider is contractually limited to using your information solely to provide service to us. We may also disclose information if required by law.

SMS Communications and Consent

When you provide your phone number on our website, you may consent to receive two distinct types of SMS messages:

Transactional SMS (required to receive service): Appointment confirmations, dispatch updates, technician en-route notifications, service follow-up. Frequency: typically 2-6 messages per service call.

Marketing SMS (optional, separate opt-in): Seasonal tune-up reminders, Comfort Club offers, Clean Heat RI rebate updates. Frequency: up to 4 messages per month.

Each type of SMS requires its own explicit consent. You can opt in to transactional SMS without opting in to marketing SMS. Message and data rates may apply.

To opt out: Reply STOP to any message to unsubscribe from all SMS. Reply HELP for assistance. You may also email support@horizonhvacinc.com or call (401) 425-9879. We honor opt-out requests within 24 hours.

CARRIER LIABILITY

Wireless carriers, including but not limited to AT&T, T-Mobile, Verizon,
Sprint, and U.S. Cellular, are not liable for delayed or undelivered
messages. Message and data rates may apply. Message frequency varies.
Carriers are not responsible for any issues related to the transmission
or receipt of messages from Horizon HVAC Inc.

Data Retention

We retain customer data while you are an active customer plus 7 years after your last service for tax, warranty, and regulatory recordkeeping. Marketing opt-in data is retained until you opt out, then deleted within 30 days except for proof-of-opt-out records. Website analytics data is retained 14 months. Quote-only requests retained 2 years.

Your Rights

You may request a copy of your information, request correction or deletion (subject to legal retention obligations), opt out of marketing communications at any time, or withdraw SMS consent by replying STOP. Contact us at support@horizonhvacinc.com or (401) 425-9879. We respond within 30 days.

Data Security

We use industry-standard administrative, technical, and physical safeguards to protect your information. Customer data is encrypted in our CRM and dispatch systems, access is role-based, and data transmission uses TLS 1.2+. No method of transmission is 100% secure. We will notify affected customers of any security incident as required by law.

Cookies

Our website uses cookies for necessary site function, analytics (Google Analytics), and ad measurement (Meta Pixel). You can disable cookies in your browser settings. Opt out of personalized advertising at aboutads.info/choices.

Children’s Privacy

Our services are not directed to children under 13 and we do not knowingly collect their information.
